Privacy Policy

This policy explains how the Fountain Discord bot and related account-linking services collect, use, and store data.
1. Data We Collect
The Fountain bot may collect and store the following information:
- Discord user ID, username/tag, and Discord interaction metadata needed for bot commands.
- Application answers submitted through bot interviews for law enforcement, EMS, or other roleplay roles.
- Staff review status, reviewer ID, timestamps, and application audit history.
- Fountain account-link records, including linked in-game player UID, RP name, link code usage, and link timestamps.
- Cosmetic entitlement records, including Discord SKU ID, entitlement ID, unlock type, display name, grant/revoke status, and verification timestamps.
- Administrative audit logs for link, grant, revoke, sync, and entitlement actions.
- Local API and bridge records needed to transfer verified account-link and unlock events to the game server.
2. Data We Do Not Store
Fountain does not intentionally store full credit card numbers, full payment account credentials, Discord passwords, or game platform passwords.
When purchases are made through Discord monetization, Discord handles payment processing. Fountain stores only the entitlement information needed to verify and apply the cosmetic unlock.
3. How We Use Data
- To run roleplay application interviews and staff reviews.
- To link Discord accounts to Fountain in-game player accounts.
- To verify cosmetic unlock ownership and make those unlocks available in-game.
- To prevent fraud, duplicate claims, unauthorized unlock use, and moderation evasion.
- To provide staff support, audit history, and account troubleshooting.
4. Who Can Access Data
Access is limited to Fountain staff or systems that need the data for applications, account linking, cosmetic unlocks, moderation, support, or technical maintenance.
Normal players cannot view raw Discord IDs, private account-link records, private payment metadata, or staff audit logs.
5. Storage and Security
Bot data is stored on the machine where the Fountain bot is hosted. Account-link and entitlement data is stored in a local database and local bridge files used by the game-side services.
Access tokens, API keys, and bot credentials should be kept out of public repositories and should not be shared. Local API endpoints are intended to run on the same server box and should not be exposed publicly.
6. Discord Entitlements and Purchases
For Discord monetization, Fountain receives entitlement information from Discord so it can determine which linked account owns a cosmetic unlock.
If Discord marks an entitlement as revoked, deleted, refunded, or no longer active, Fountain may update or remove the related in-game unlock.
7. Data Retention
Application records, account links, entitlement records, and audit logs may be retained as long as needed for role management, support, moderation, fraud prevention, and gameplay unlock history.
Staff may remove or anonymize records when they are no longer needed or when a valid request can be honored without compromising moderation, audit, or fraud-prevention needs.
8. Your Choices
You may choose not to link your Discord account, but some features may not work without linking, including cosmetic unlock delivery and account-specific support.
You may contact Fountain staff through the official Discord support or ticket channels to ask about your linked account, application data, or entitlement records.
9. Sharing
Fountain does not sell personal data. Data may be shared with Discord or used through Discord systems as necessary for bot functionality, monetization entitlement verification, moderation, or compliance with Discord policies.
10. Changes
This policy may be updated as Fountain systems change. Continued use of the bot or linked services after an update means the updated policy applies.
